Meeting called to order at 7:00 pm via Zoom.
 
In attendance:
Chair: Robin Kaye,
Supervisors: Joseph Pruden, Kelly Carnes, Constance Pruitt, David Thorpe,
BoE Clerks: Assistant to Town Administrator - Priscilla Matthews, Acting Town Clerk - Tonya Jones

Approval of minutes for December 2, 2021 and January 6, 2022:: J. Pruden, seconded by K. Carnes. All in favor.
 
Report of BoES activities at recent administrative meeting – J. Pruden, seconded by C. Pruitt. All in favor.
Report of BoES activities at recent administrative meeting: Recapped the 1/12/22 administrative meeting where John LeGloahec stepped down as the chair. At the 1/26/22 kick of meeting with new members.
 
J. Pruden – Stated that at that meeting requirements from vendors was discussed and the transition of paper ballots to electronic voting was addressed. Will continue to reach out to the county and the state to get information on vendors approved. Connie is working on reaching out to other municipalities to get input about their practices on the change from paper to electronic machines.
 
• K. Carnes reached out to vendors that do scannable ballots but did not get a response to see if they are approved in Maryland. (ClearBallot, ESS Vote)
• R. Kaye focused on updates for the website, forms for candidates, and mail-in ballots request form. Will give other members access to Google drive for review.
• R. Kaye explained to the new members why the ward map and streets-by ward needed corrections.
• R. Kaye explained the importance of officially becoming a write-in candidate and when they can submit their write-in petitions.
• R. Kaye reviewed the updated forms with the BOE.
• Priscilla Matthews asked if a QR code could be added to the ballot to associate enable tracking of the ballot.
 
Action Items:
• C. Pruitt & K. Carnes will work together to reach out to municipalities in Prince George’s County to gather information about elections.

• No new business.
• R. Kaye asked Tonya Jones what the process for residents to pick up forms may look like. Tonya stated that town hall is open so residents should be able to pick up forms. The mailbox is located on the building for dropping off forms. The forms will be available at town hall pickup.
 
Next administrative meeting will be Thursday, February 10, 2022, at 7pm.
